Terms of Service

Last updated: August 12, 2026

1. Acceptance

By signing in to, accessing, or using any part of Keystone Management (the "Service"), you agree to these Terms of Service. If you do not agree, do not use the Service. Signing in with Discord constitutes acceptance of these Terms and our Privacy Policy. A notice to that effect appears alongside every sign-in control, and your acceptance is recorded against your Discord account together with the version of these Terms in force at the time. Where we make material changes, we will ask you to accept the updated version before continuing to use the Service. You must be at least 13 years old. Where you configure the Service for a Discord server, you confirm you are authorised to manage that server.

2. What the Service Covers

"Service" means all of the following, which are governed by these Terms together: • The Keystone Management web dashboard at keystonemgmt.io • The Keystone Management Discord bot • Keystone CAD, the computer-aided dispatch and MDT application at cad.keystonemgmt.io • The Keystone desktop companion application Keystone Atlas is open-source software released separately under the MIT Licence. It is not covered by these Terms; its licence governs your use of it.

3. What the Service Does

Keystone Management helps administrators of ERLC (Emergency Response: Liberty County) Discord servers manage Roblox account verification, voice channel routing, moderation, staff and HR management, application forms, shift and playtime tracking, support tickets, giveaways, automations, announcements, analytics, and other server administration features. Keystone CAD additionally provides in-character dispatch, records, licensing, and related roleplay tooling for those servers. The Service interacts with Discord and Roblox via their respective OAuth and public APIs, and with ERLC via its private-server API and event webhook.

4. Accounts and Access

Access is authenticated through Discord OAuth. We do not issue or store passwords. You are responsible for keeping your Discord account secure, and for any use of the Service made through it. What you can see and change within a Discord server depends on the permissions that server's administrators have granted you. Losing those permissions, or leaving the server, removes the corresponding access.

5. Your Responsibilities

You are responsible for: (a) keeping your Discord account secure; (b) ensuring you have the necessary permissions to add and configure the bot in your server; (c) how the Service is used within your Discord server; (d) the accuracy and legality of any content you submit, including application form questions and answers and any records you create in Keystone CAD; and (e) complying with Discord's Terms of Service, Roblox's Terms of Service, ERLC's terms, and any applicable laws. If you use the Service to collect information from other people — through application forms, for example — you are the party responsible for that collection, including any notice or consent your local law requires.

6. Prohibited Uses

You may not use the Service to: harass, spam, or harm other users; submit false or misleading information in application forms; use application forms or CAD records to collect data that is unlawful or that you are not authorised to collect; circumvent security measures; access accounts or servers you are not authorised to manage; resell or redistribute the Service without permission; or violate any applicable law or platform policy. We reserve the right to suspend or terminate access for violations without notice.

7. User-Generated Content

Server administrators and their members may create application forms, automations, dispatch records, reports, and other content ("User-Generated Content" or "UGC") using the Service. UGC is not reviewed, verified, or endorsed by Keystone Management. Administrators are solely responsible for the content, questions, and administration of what they create, and must comply with all applicable laws including data protection regulations. Applicants or members who encounter content they believe is inappropriate or unlawful should report it via our Discord support server. We may remove UGC and suspend access for violations without notice. You retain ownership of your UGC. You grant us the limited licence necessary to store, process, and display it in order to operate the Service.

8. Subscriptions and Billing

The Service offers a free Community tier and paid tiers (currently Pro and Agency) that unlock additional features. Paid plans are sold per Discord server, not per user. Payments are processed by Stripe. We do not receive or store your card details. Your purchase is also subject to Stripe's own terms. Subscriptions may be billed monthly or annually and renew automatically at the then-current price until cancelled. You may cancel at any time from the Billing tab in the dashboard or through the Stripe customer portal. Cancellation stops future renewals; your paid features remain available until the end of the period you have already paid for, after which the server returns to the Community tier. Except where the law requires otherwise, payments are non-refundable, including for partial billing periods and for periods during which you did not use the Service. Cancelling does not entitle you to a refund of the current period. Where a "lifetime" plan is offered, "lifetime" means for as long as we continue to operate the Service. It is not a guarantee that the Service will be operated indefinitely, and it does not survive discontinuation of the Service. If a payment fails and is not resolved, paid features may be suspended and the server returned to the Community tier. We may change prices or the composition of tiers; we will give reasonable notice of changes affecting an active subscription, and changes take effect at the next renewal. Prices are exclusive of any taxes that may apply.

9. AI Features

Some features use third-party artificial-intelligence models. Keystone Kal proposes automations from your instructions, and the AI Livery Generator produces images from your prompts. To provide these, the content you enter — and, for Kal, the relevant configuration of your server — is sent to third-party model providers for processing. See our Privacy Policy for who those providers are. AI output is generated automatically and is not guaranteed to be accurate, complete, or suitable for any purpose. You are responsible for reviewing anything an AI feature produces before you rely on it or deploy it in your server. An automation proposed by Kal is checked by the same validation every hand-built automation goes through, but validation confirms that an automation is well-formed — not that it does what you intended. You must not use AI features to generate unlawful, infringing, or harmful content.

10. Third-Party Services

The Service depends on Discord, Roblox, ERLC, Stripe, and other third-party APIs and platforms, including the model providers behind our AI features. We are not affiliated with or endorsed by Roblox Corporation, Police Roleplay Community, Discord Inc., or Stripe, Inc. Availability of the Service may be affected by changes or outages in those third-party services outside our control.

11. Service Availability and Beta Features

We aim to keep the Service available but make no guarantees of uptime or uninterrupted access. We may modify or discontinue features at any time. Some parts of the Service are offered as beta or preview features and are identified as such. Beta features may be incomplete, may change substantially, and may be withdrawn without notice. They are provided for evaluation and should not be relied upon. We are not liable for any disruption, loss of data, or other damages resulting from downtime or changes to the Service.

12. Intellectual Property

Except for the open-source components identified below, all code, design, and branding of the Service are our property. You may not reproduce, distribute, or create derivative works without explicit written permission. Keystone Atlas is released under the MIT Licence, and your use of it is governed by that licence rather than this section. Other third-party open-source components remain subject to their own licences. You retain ownership of your own server configuration data and any UGC you create.

13. Termination

You may stop using the Service at any time by removing the bot from your server and ceasing to use the dashboard and applications. Cancelling a paid plan is described in section 8. We may suspend or terminate access, in whole or in part, for breach of these Terms, for conduct that risks harm to other users or to the Service, or where we are required to do so by law or by a platform we depend on. On termination, your right to use the Service ends immediately. Data deletion is handled as described in our Privacy Policy, and you may request deletion at any time.

14. Disclaimer of Warranties

The Service is provided "as is" and "as available", without warranties of any kind, whether express, implied, or statutory, including any implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, secure, or that any data will be preserved without loss. Some jurisdictions do not allow the exclusion of certain warranties, so parts of this section may not apply to you.

15. Limitation of Liability

To the fullest extent permitted by law, Keystone Management and its developers are not liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of data, profits, or goodwill, arising from your use of — or inability to use — the Service, including any damages arising from UGC created by server administrators or from output produced by AI features. To the fullest extent permitted by law, our total aggregate liability arising out of or relating to the Service is limited to the greater of (a) the amount you paid us for the Service in the twelve months preceding the event giving rise to the claim, or (b) fifty United States dollars. Some jurisdictions do not allow certain limitations of liability, so parts of this section may not apply to you.

16. Indemnity

You agree to indemnify and hold harmless Keystone Management and its developers from any claim, demand, loss, or expense (including reasonable legal fees) brought by a third party and arising out of your UGC, your use of the Service, your collection or handling of other people's information through the Service, or your breach of these Terms or of any applicable law.

17. Governing Law

These Terms are governed by the laws of the State of Wisconsin, United States, without regard to its conflict-of-laws rules. You and we agree that the state and federal courts located in Wisconsin have exclusive jurisdiction over any dispute arising out of or relating to these Terms or the Service, and you consent to personal jurisdiction there. If you use the Service from outside the United States, you do so on your own initiative and are responsible for compliance with your local law. Nothing in these Terms removes any right you have under the mandatory consumer-protection law of your country of residence that cannot be waived by agreement.

18. Changes to These Terms

We may update these Terms from time to time. The revision date at the top of this page will reflect the latest version. Where changes are material, we will ask you to accept the updated Terms the next time you use the Service; otherwise, continued use after changes are posted constitutes acceptance.
